The challenge

Licences, inspections and training certificates expire quietly. Most organisations only find out during an audit, when it is already expensive.

Our approach

Turn rules into tasks

Every obligation becomes a record with an owner, an expiry date and the evidence attached, so “are we compliant?” has a real answer.

Warn early, not loudly

Reminders arrive weeks before a deadline, routed to the person who can fix it, not to everyone.

Evidence in one place

Certificates, photos and sign-offs live next to the obligation they prove, ready for an auditor.

Connect the workflow

Compliance tasks link to the day-to-day operations that create them, so nothing has to be entered twice.

What we built

  • Obligation register with owners and expiry dates
  • Evidence storage per record
  • Early reminders and escalation
  • Audit-ready exports
  • Role-based access

How it was drawn

Like every 12pencils project, Vigilo went through our five decisions: sketch the problem with the people who have it, outline the journeys, detail every screen and word, ink it in working code, then sign it off only after testing with real users.

What we learned

Compliance software fails when it feels like policing. Framed as “keeping you ready”, people actually use it.

Screens on this page are illustrative. Product details reflect the current development stage.
