The challenge
Growing teams outgrow spreadsheets for payroll long before they can afford an HR department. Mistakes in pay erode trust faster than anything else a company does.
Our approach
Map the money first
We traced every step from a new hire to a payslip, including the approvals people actually ask for on WhatsApp, and designed the product around that path.
Make the right action obvious
Each payroll run reads like a checklist: what changed, what needs approval, what goes out. Nothing is sent until a person signs it off.
People own their records
Staff see their own payslips and leave balances, which removes a whole category of questions from the manager’s inbox.
A calm identity
A friendly, trustworthy brand for software that handles money: clear type, one confident colour, no alarm-bell red.
What we built
- Employee records and contracts
- Monthly payroll runs with approvals
- Payslips people can open on their phone
- Leave requests and balances
- Reports for leadership
How it was drawn
Like every 12pencils project, Flykimo went through our five decisions: sketch the problem with the people who have it, outline the journeys, detail every screen and word, ink it in working code, then sign it off only after testing with real users.
What we learned
Trust in payroll comes from predictability. The best feature is a run that looks exactly like last month, except for what you expected to change.
